"Who sent that email, and when?" should not go unanswered

An email being deleted, lost or not found in the archive is not merely a loss of information; it means being without proof in a dispute, or unable to answer in an audit. Paraptikon automatically archives the email traffic of the users you select at the system level; the user does nothing and cannot turn anything off.

Why It Is Needed

What happens without an archive?

All of the situations below stem from email existing only in the user's mailbox.

Deleted correspondence

When a user deletes a mail or cleans out their mailbox, the correspondence is deleted from the organization too.

Departing staff

When an employee leaves, years of customer correspondence goes with them.

Dispute and audit

Saying "we had sent this quote" is not enough; you need to be able to show it with its date and content.

Information that cannot be found

Searching for correspondence from two years ago takes hours going mailbox by mailbox; most of the time it is never found.

How It Works

At system level, in the background

Paraptikon is not installed on the user's program; it works at the mail server level. So nobody can disable it or forget it.

Automatic archiving

All incoming and outgoing mail of the users you specify is archived without the user doing anything.

  • Can be selected per mailbox
  • The archive copy stays even if the user deletes it
  • Attachments are stored too

Search from the web interface

Authorized users search from the secure web interface by date range, sender, recipient and subject.

  • Fast historical search
  • Viewing and exporting correspondence
  • Reporting on search results

Authorized access

Who can access the archive and which mailboxes they can see are all defined. The user's own access to their archive is also under control.

  • Role-based authorization
  • Keeping access logs
  • A setup that respects privacy principles
What changes in the organization
  • No user-side configuration; it works consistently in Outlook, webmail, and mobile apps
  • Archiving is done at server level and the user cannot turn it off
  • The correspondence of departing staff stays with the organization
  • In a dispute, correspondence can be shown with its date
  • The archive is kept in a separate area from the user mailbox
  • Can be used together with our hosting infrastructure or with your existing system
How We Work

Not a call center, the team that does the work

We are not a provider that sells mass packages. We work with a small number of organizations, getting to know their setup. The feedback we hear most is this: "When we call, we reach the technical team without waiting."

You reach the technical team directly

There is no ticket queue, no operator reading from a script, no "I passed it on to the relevant department" answer. You reach the colleague who knows the subject and talk through the solution with them.

A team that knows your organization

You don't have to explain your system from scratch every time. Whoever set up your server is the one who looks at it when a problem occurs, and they approach it knowing its history.

Not a ready-made package, a setup built around you

If your need doesn't fit a standard package, we change the setup, not the package. As a team that has been in the field for years, we design the solution around your process.

Help

Frequently asked questions

Is everyone's mail archived?
No, the choice is yours. Archiving is defined per mailbox; only the users you specify are covered. Which mailboxes will be archived and who can access the archive is decided together at setup.
Can a user turn off archiving?
No. Paraptikon works not in the user's email program but at the mail server level. Even if the user deletes a mail, the copy in the archive stays in place.
Who can access the archive?
Only the people you authorize. Access is defined by role and actions on the archive are logged. This both prevents misuse and shows in an audit who looked at what.
How does it stand with regard to KVKK?
Archiving is a processing operation the organization performs on its own correspondence data; the scope, retention period and access permissions are determined by the organization's policy. Informing employees and updating privacy notices is the organization's responsibility; on the technical side we configure the setup accordingly.
Does it work with our existing email system?
Generally yes. For organizations running on our hosting infrastructure it is put into service directly; for organizations running their own server, we tell you whether integration is possible after looking at your existing system.
How does it differ from ParaPanel's built-in email archive?
The built-in email archive in ParaPanel is included with the hosting package. Paraptikon is a dedicated email archiving and tracking system with more advanced monitoring, historical search, and access controls. We review your requirements and recommend the option that best fits your use case.
