Email Setup

Set up your email account in five minutes

The server details below are the same for every email app, whether you use Outlook on your computer, iOS Mail on your phone, or another app. For app-specific, step-by-step instructions, see the guides at the bottom of the page.

Replace yourdomain.com with your own domain name. The username is always your full email address (for example [email protected]), not just the "name" part.

Which port should I choose? Use the encrypted ones if you can (993, 995, 587). The unencrypted ports are open only for compatibility with older programs; on these ports your password and mail travel over the network unprotected. We recommend not choosing unencrypted connections on corporate devices.

IMAP, POP3 or ActiveSync?

All three connect to the same account; the differences are where your mail is kept and what gets synchronized.

IMAP

Mail stays on the server and devices work in sync. What you read on your phone also shows as read on your computer. This is the right choice if you use more than one device.

POP3

Mail is downloaded to the device and usually deleted from the server. It is suitable if you use a single computer and want to keep mail locally; you cannot reach the same mail from other devices.

ActiveSync

Alongside mail, it also synchronizes calendars and contacts; the team shares a common calendar and address book. You set up a single account on the phone, with no need for a separate calendar subscription.

Common problems
  • Password is not accepted: make sure you typed your full email address as the username
  • I receive mail but cannot send: SMTP authentication is off; turn it on
  • Certificate warning: check that you typed the server name as mail.yourdomain.com
  • The calendar does not show on my phone: set the account up as ActiveSync instead of IMAP
  • My mail disappears on one device: that device may be using POP3; switch to IMAP
  • I cannot connect from abroad: your account may have a country restriction turned on; write to us or turn it off yourself from the panel
