Let the mail you send reach the other side's mailbox

An email going out is not the same as it being delivered. When your server's IP address gets blacklisted or its reputation score weakens, the quote you send lands in the other side's spam folder or never arrives at all. Smart Host sends your outgoing mail through our relay infrastructure whose reputation is monitored; your delivery rate and brand reputation are protected.

Problem

Why doesn't your mail arrive?

Outgoing mail not being delivered is almost never about the content; the problem is at the outbound point.

IP on a blacklist

A single compromised account or infected computer is enough to get the organization's entire outbound IP blacklisted. After that, everyone's mail is blocked.

Low reputation score

A newly set up IP, or one that sends little mail, has no history. Large mail providers treat these addresses cautiously and mail lands in spam.

You don't even know

In most cases no error returns to the sender. The problem goes unnoticed until someone asks by phone, "Did you get the mail?"

Solution

How does it work?

Your mail server does not change; only the outbound route of outgoing mail is redirected to our infrastructure.

1

The user sends the mail

Whether Outlook, webmail or phone, the mail reaches your own server as usual.

2

Your server forwards it to us

A one-line relay setting added to your mail server delivers outgoing mail to our infrastructure.

3

Identity and encryption are applied

The connection is encrypted with TLS; the mail is signed in line with SPF, DKIM and DMARC records.

4

It leaves from a reputable address

The mail is delivered to the receiving server from our addresses, whose reputation is monitored regularly. The state of your own IP does not affect delivery.

How We Work

Not a call center, the team that does the work

We are not a provider that sells mass packages. We work with a small number of organizations, getting to know their setup. The feedback we hear most is this: "When we call, we reach the technical team without waiting."

You reach the technical team directly

There is no ticket queue, no operator reading from a script, no "I passed it on to the relevant department" answer. You reach the colleague who knows the subject and talk through the solution with them.

A team that knows your organization

You don't have to explain your system from scratch every time. Whoever set up your server is the one who looks at it when a problem occurs, and they approach it knowing its history.

Not a ready-made package, a setup built around you

If your need doesn't fit a standard package, we change the setup, not the package. As a team that has been in the field for years, we design the solution around your process.

Help

Frequently asked questions

Do we need to change our mail server?
No. Your existing server remains unchanged; only the route used for outgoing mail is updated. The service works with Postfix, Exchange, Zimbra, Carbonio, and other mail servers.
How long does activation take?
Generally the same day. On our side your account is defined, and on your mail server a one-line relay setting is added. Users make no changes and Outlook settings are not touched.
We are already blacklisted; does Smart Host fix that?
Because your outgoing mail now leaves from our addresses, the delivery problem goes away immediately. However, if the cause of the blacklisting continues on your side (such as a compromised account or an infected computer), the source also needs to be cleaned up; we give guidance on this.
Is there a sending limit?
The infrastructure is protected against abuse; a limit is set according to your organization's normal daily volume. If you will send bulk notifications or newsletters, just tell us up front and we will set it up accordingly.
Is the content of our mail read?
No. The system signs, encrypts and delivers the mail; the content is not read. Delivery records are kept for review in a technical problem, and are used only at your request.
What should we do for incoming mail?
Smart Host protects only the outgoing side. On the incoming side, see our Secondary MX service to prevent mail loss when your server goes down, and our PMG Hosting services for spam and virus filtering.

Let's measure your delivery rate

Let's look at your domain's SPF, DKIM and DMARC records and check the blacklist status. If there is a problem, we will say where it comes from.
